RESIDENCE HALL SPRING MOVE-OUT PROCESS

The residential communities at Neumann University close for spring semester housing 24 hours after a student's last final or by 6 p.m. on Friday, May 10th. Students participating in commencement ceremonies, having on-campus employment or commitments critical to commencement, or having been assigned summer housing on campus are permitted to remain on campus until commencement or summer housing transition. Below are details regarding important information for closing and critical steps all residential students must complete to avoid being assessed a damage or improper check out fee.

Beginning Friday, May 3rd at 12:01 a.m., the following expectations are in effect through the end of the spring semester to best support students during finals week:

Quiet Hours: 24-hour quiet hours begin and remain in effect through the end of the semester. This means no noise in residential communities, such as music, movies, and conversations, should be heard by the room next door regardless of the time of day. This expectation remains in effect even when students are moving out of the residence halls during this week.

Visitation: 24-hour visitation restriction begins and remains in effect through the end of the spring semester. This means no overnight visitation and no guests, including other Neumann University students who do not reside in that room, are permitted unless a student is actively moving out for the semester.

Students have (2) two options to check out for the semester:

  • Traditional Check Out: A traditional check-out is when a Residence Life staff member goes with the student to damage-check a space in person. Students can address any appropriate concerns before officially checking out of the space. After checking the space, including taking a photo documenting any damages, students return their key and sign the check-out paperwork with the Residence Life staff member.
    • Students who check out via the traditional check-out process will have the opportunity to appeal any damage charges if they disagree with the assessment.
    • From May 1 to May 10, Residence Life student staff and Graduate Hall Directors will be available for traditional check-outs:
      • Monday-Friday, 9 am-4 pm and 8 pm-10 pm in the Residence Life Office in O’Neill Hall.
      • Saturday, May 4th & Sunday, May 5th 10 am-2 pm and 8 pm-10 pm in the Residence Life Office in O'Neill Hall.
  • Express Check-Out: An express check-out is when a student returns their key and checks out for the semester without a damaged check before departure by a Residence Life staff member. Residents will return their keys in key boxes located in the lobby of the residence halls with the provided envelopes. Students residing in houses should return their keys to the O’Neill Hall key box or Campus Safety office.

    • Students who use the express checkout process waive their right to damage appeal.
    • Express checkout is available 24 hours a day/ 7 days a week

Students who choose to move out from their spring semester housing without completing a traditional or express check-out will be charged a $50 improper check-out fee. 

Students who moved out before May 1st should email Residence Life (reslife@neumann.edu) and return their key to the Residence Life Office by 5pm on May 1st.



Graduating seniors can stay in the Residence Halls for no additional cost until commencement. All graduating seniors must move out of the Residence Halls by 5 pm on Saturday, May 18th. This expectation is the same for students with on-campus employment or commitments critical to commencement ceremonies approved by Residence Life staff.

  • Traditional Check-out: Graduating seniors can participate in an abbreviated traditional check-out during business hours on Friday, May 17th, from 10 a.m. to 4 p.m. 90% of items need to be packed and located in a central area of the room for Residence Life staff to complete the inspection. Students interested in this option should go to the Residence Life Office in O'Neill Hall during this time.
  • Express Check-out: Residents can complete an express check-out at any time or all day on Saturday, May 18th, by returning their residential key(s) in the key boxes in the residence halls' lobby with the provided envelopes. Instructions are located next to each key box. Residents living in a University-owned house should return their keys to the O'Neill Hall key box if completing an express check-out.

Summer housing at Neumann is available for students who are taking summer classes, working in an on-campus office, or interning in the surrounding area for an additional cost. Student can apply for summer housing beginning April 22nd through eRezLife. Students are not considered a summer resident until after they have received a housing assignment. 

Spring-to-Summer Extended Stay: Students who receive a summer housing assignment are eligible for extended stay at no additional cost, pending they can move from their spring to fall housing assignment between Thursday, May 6th and Monday, May 20th. All students that are participating in extended stay must be fully moved out of their spring housing assignment by 9am on Monday, May 20th, including returning their key to the Residence Life Office.

Students opting to participate in this extended stay option may complete a traditional check-out during business hours (8:30 am to 5 pm) Thursday, May 16 and Friday, May 17. Students who do not complete a traditional check-out during this time, must complete an express check-out before Monday, May 20th at 9 am.

Students who are unable to move into their summer housing assignments on the date provided, must fully move out of their residence halls 24-hours after their last final or by May 10th at 5pm, whichever comes first.

Extended stay housing (i.e. housing after May 10th at 5 pm) is only available for the following reasons:

  • Neumann University athlete that is on a playoff-bound team and has practices/games after May 10th
  • Graduating seniors
  • Residence Life student staff
  • Conference assistants
  • Orientation leaders
  • Students with on-campus employment or commitments critical to commencement ceremonies
  • Summer housing transition

Students wishing to extend their stay for reasons beyond those outlined above should email Residence Life at reslife@neumann.edu for consideration. Those individuals who are approved for a reason beyond those listed above may be subject to an extended stay fee, if approved.

Additional communication about check-out procedures specific to approved extended stay groups will be sent directly to them. Information is also available for select groups on this webpage.

Below are a few tips or strategies to support students during the move-out process: 

  • Inspect your room, suite, or apartment for any damages to the space and/or furniture that occurred after you moved in. If there is damage in a shared space, speak with your roommate(s) about who is responsible for the damage(s) and communicate this with Residence Life via email. All unit roommates should be copied on the message.
  • Remove all trash, wipe down all surfaces, and clean all areas of your room, suite, or apartment. Additional dumpsters will be available throughout campus. If you live in a suite or apartment, you should work with your apartment mates to divide up the cleaning of common areas.
    • Double-check all closets, desk/dresser drawers, and kitchen cabinets.
    • Sweep/vacuum/mop floors
    • Wipe down kitchen appliances, countertops, and sinks in apartment communities
  • Students can donate non-perishable food or unused toiletries to the Knights Pantry donation containers throughout campus (e.g., Bachmann Main Building Lobby) 
  • Students who utilized 3M Strips and other difficult-to-remove wall adhesives should not try to remove them themselves, as this can cause significant damage. Housekeeping/Maintenance staff will remove these after you move out.
  • Remove all your personal belongings from your room. Be sure to begin taking down room decorations and packing up your items well before your move-out deadline.
  • Moving bins will be available on a first-come, first-served basis at the Residence Life office in O’Neill Hall. They will be limited to one hour, and waits for bins will not warrant move-out deadline extensions. All moving bins signed out during business hours must be returned by 5 p.m. All moving bins signed out from an RA on Duty must be returned by 10 p.m.
  • Return the furniture to its original configuration, as you found it when moving in.

Residential spaces are assessed for damages at the end of each semester. Students are assessed fees for damages if there are differences in the condition of their spaces from their Room Condition Report completed at the beginning of the fall or spring semester. Students are also responsible for their community spaces (e.g., lounges) and common area spaces in their units. Any fees that exceed $20 per person in a unit will result in a move-out fee being applied to a student's account. Details about any assessed move-out fees and, if applicable, the appeal process will be sent to the student's Neumann University email by Friday, May 24th. All move-out fee appeal requests are due Friday, June 7th. 

  • Improper Check-Out Fee - $50
    • Students may be charged if they fail to meet their respective move-out deadline and/or do not complete any of the steps outlined in a traditional or express check-out.
  • Trash Removal – Improper Check-Out Fee ($50) + Removal Fee ($25 per trash bag and $50-$100 per personal furniture item)
    • Any personal items (clothing, appliances, electronics, textbooks, etc.) and/or any trash (paper, food, etc.) that must be bagged and removed by University staff will result in a minimum charge of $50, with an additional $25 for each bag of items/trash removed.
  • Excessive Cleaning—Spaces that are not as clean as they were during move-in will be charged a cleaning fee. Minimum cleaning fees are $100 per room, $85 per appliance, and $350 for an entire apartment or suite.
  • Wall Damage—Repair of any wall damage, such as paint chips, is $80 per each 1” x 1” area, $325 for a full wall, and $1300 for the entire room. Students who utilize 3M Strips and other difficult-to-remove wall adhesives should not try to remove them, as this can cause significant damage, leading to move-out fees. Housekeeping/Maintenance staff will remove these after your move-out at no cost.

    • Last day to request housing release for any reason without a cancellation fee.

    • Last day to request housing release for any reason with a $250 cancellation fee.

Will moving bins be available?

Moving bins will be available at the Residence Life office in O’Neill Hall on a first-come, first-served basis and will be limited to one hour. Waits for moving bins will not warrant move-out deadline extensions.

All moving bins signed out during business hours (Monday-Friday, 8:30 am-5 pm) must be returned by 5 p.m. Moving bins are also available from 8 pm to 10 pm while RAs are on duty.

All moving bins signed out from an RA on Duty must be returned by 10 p.m.

I am living on campus for the summer. Can I move from my spring housing directly to my summer housing?

Students who have received a summer housing assignment are eligible for extended stay housing at no additional cost if they can move from their spring to summer assignment between Thursday, May 16th and Monday, May 20th. All summer residents must be fully moved out of their spring semester housing by 9 a.m. on Monday, May 20th.

Students will not be eligible to move into their summer assignment before Thursday, May 16th due to cleaning and turnover of spaces from spring semester.

Students who are unavailable or unable to move into their summer assignment must fully move out of the residence halls for spring and can check into their summer housing assignment during business hours (8:30am-5pm, Monday-Friday) beginning Monday, May 20th.

More information regarding summer housing transition will be sent via email to students when they are assigned summer housing.

When can I begin moving my items out?

Students can begin moving their items out of the halls, creating a summer storage plan, and researching housing accommodations for summer throughout the spring semester.

Additional dumpsters will be available beginning May 1 in the Flynn Hall, Cunningham Hall, O'Neill Hall, and Buoni Apartments parking lots. All other dumpsters that are present during the academic year will be available in their normal locations as well. 

When is the best time to move out my belongings?

To avoid peak times, it is best to move out your belongings early in the morning (8 am-11 am) or late in the afternoon (2 pm-4 pm).

Where am I allowed to park during move-out?

While moving out, students and their guests assisting with move-out are expected to avoid parking in the fire lanes (yellow curbs), roadways, grass, or other non-parking areas. Vehicles that park in these areas may be towed. 

How can I learn more about the move-out process?

Community Meetings: Resident Assistants will facilitate community meetings from April 29th through May 3rd. During the week of April 29th, more information will be emailed to students, and posters advertising the meetings will be posted in the residence halls. If students are unavailable to attend the community meeting their RA facilitates, they are welcome to attend any other community meeting.

Posters: Residence Hall closing information, including expectations during finals week and how-to checkout instructions, are displayed in the residential community lobbies beginning the week of April 29th.

Email: Residential students will receive emails about hall closing procedures and expectations beginning the week of April 29th.

 

There is a damage in my room, but it was another student's responsibility. What do I do?

Students should inspect their room, suite, or apartment for any damages to the space and/or furniture that occurred after they moved in. If there is damage in a shared space, students should speak with their roommate(s) about who is responsible for the damage(s) and communicate this with Residence Life via email (reslife@neumann.edu). The student taking responsibility for the damage should be the person emailing Residence Life. All roommates of the unit should be copied on the message.

If an email of responsibility is not received by Residence Life, the damage or cleaning charge will be split amongst the residents of that bedroom or unit.

I already moved out of the residence halls. What do I do?
Students who moved out of their residence hall before May 1st should email Residence Life at reslife@neumann.edu to notify staff of their move-out date. A move-out is not considered complete until the room key is returned. Students must return their room key to Residence Life by May 1st during business hours (Monday through Friday, 8:30 a.m. to 5 p.m.) to avoid being charged for a key core replacement ($250).
What are my options for storing items during summer?

Neumann University does not offer storage for personal belongings on campus over summer. However, the University does partner with SPACESHIP Fueled by Dorm Room Movers.
